Company Font and Asset Licensing Policy

Purpose

To ensure that all fonts and other digital assets used in our websites are legally licensed and compliant with intellectual property laws, protecting both our company and clients from legal risks.

To Assist with the onboarding of contractors who do work on behalf of ImpulseHub.

Policy Statements

1. Font Usage

  • Only fonts available through Google Fonts (open-source and free for commercial use) shall be used by default on all websites we design or develop.
  • If it becomes necessary to use a font not available in Google Fonts, that font must be properly licensed for the intended web usage prior to deployment. This includes obtaining all necessary webfont licenses or other applicable rights.

2. Other Digital Assets

  • All images, icons, videos, templates, and other digital assets incorporated into a website must be either:
  • Totally free for commercial use, or
  • Properly licensed, with documented proof of license stored internally.

3. Contractors and Designers

  • All external designers, freelancers, and contractors must be informed of this policy and agree to comply with it before starting work.
  • They are responsible for confirming fonts and assets are licensed appropriately.

4. Compliance Check Before Launch

  • Before any website or digital product is launched live, a compliance review must be conducted, verifying:
  • All fonts used on the site are from Google Fonts or have valid licenses.
  • All other digital assets meet the free or licensed criteria outlined above.
  • This review is to be signed off by the project manager or designated compliance officer.

5. Record Keeping

  • Licensing documentation for any non-Google font or asset must be filed and accessible.
  • The compliance review checklist and sign-off document shall be kept with the project records.

6. Breach and Resolution

  • Any accidental use of unlicensed fonts or assets discovered post-launch must be reported immediately.
  • Prompt removal or replacement and notification to management is required.
  • Steps will be taken to remediate and prevent recurrence, including educating the responsible parties.

For all projects, a pre-launch compliance checklist must be completed and signed by the project lead or designated compliance officer. The checklist and proof of asset licenses (payment receipt, download page, or license file) must be filed with project documentation.

All contractors must acknowledge this policy in writing before project commencement. Adherence to this policy is a condition of engagement for all contractors and partners, and must be acknowledged before the project begins.
